Entering Employee Work Assignments

An employee’s assignment identifies his or her role and payroll within a Business Group. The assignment is made up of a number of assignment components such as the Job, Position, Department or Organization and Payroll. Of these, Organization is mandatory, and Payroll is a required component for payment purposes.

  • Select the organization to which you want to assign the employee. The default organization is the Business Group.
  • If a location is defined for this organization, it also appears as a default.
  • Select the job, position, and supervisor for the employee's assignment.
  • The employee's supervisor is the default next approver for all purchasing documents if the Use Approval Hierarchies check box in the Financial Options window is checked.
  • Select a location for the assignment. The address of this location is displayed.

























Updating Employee Assignments 

In the Assignment region, you can insert a change to the assignment, as from a particular start date. The Assignment History region shows one row for every change to the organization, job, location, manager, or billing title of the assignment. The date fields in this region display the start and end dates of the assignment.Each row is valid between the dates shown at the bottom of the Assignment History region.



Enter and Maintain Person

Oracle HRMS Offers the ‘People Form’ as the main point of data entry.Use the Enter Person form to enter and maintain basic personal information, addresses, and work assignment details for your employees

Click on New

Use the Enter Person form to enter, maintain, and view basic personal information and addresses for employees and external contacts. For your employees, you can also enter work assignment information, which includes organization, job, position, work location, and supervisor's name.
  • Enter the employee's name. Only the last name is required.
  • If your enterprise uses manual employee number entry, enter an employee number and national identifying number (such as CNIC in Pakistan).
  • If your enterprise uses automatic number generation, enter a national identifying number only. The employee number automatically displays when you save your entries in this window.
  • Enter the employee's hire date in the first of the Employment Dates fields. This must be on or before today's date.
  • In the Email field, you can enter an email user ID.
  • Save your work 





















  • Click on Address button to add address
  • Select Home or Office to indicate the employee's preferred mail address.
  • Select a national address style.
  • A window opens with the address format for the country you select.
  • Enter your address information in this window and choose OK.
  • This returns you to the Address window.
  • Select an address type, such as home, or weekend, or office.
  • You can check Primary for the address you are creating, to identify the employee's main address. By default, the first address you enter is the Primary address.
  • Only one address at any time can be a person's Primary address.
  • Additional Information: Default address styles are predefined for many countries. You can create address styles for other countries.





















Save Your Work
You can enter as many addresses as necessary for each employee in the Address region of the Person Information window.

Define and Assign Grades

A component of an employee's assignment that defines their level and can be used to
control the value of their salary and other compensation elements.

First we define grades in our organization. Grades can be assigned to jobs or positions. But Oracle prefers to assign grades to jobs.

Select the job first then click on the valid grade button to assign the grade

It might be possible that a single job have more than one grade

Create Positions

Positions are specifications tied to organizational units and are held by individuals in an enterprise. Positions are specific to an organization. Each Position is typically occupied by one employee. A Position can how ever be filled by more than one employee. Positions are concrete and are occupied by holders (Employees). Positions can be 100% filled, partially filled or vacant.
There are many differences between Jobs and Positions.

Enter the entire field

In this way we can define all the position of our organization.


Create Job

 Create the Jobs in your Business Group based in the Structure you have defined for the jobs.
Job is a role in our organization. Here create jobs which we want in our organization.
The job group will be generated automatically. But if we want a new job group we can create it ourselves. Don’t forget to check the date .After creating the jobs with the job code and job name save them

Click on the name field and select the job from LOV

In this way add all the required job in the structure

Create Organization/Departments/Branches/Section

After defining the BG. The next step is to create organizations/departments in our business group.It will be better if we Select the Organization type as branch or departments according to our organization while creating them .But Attaching HR Organization for every Organization is must .One thing that should be keep in mind is that if our organization,s departments or branches are located on different location then we have to add all the location first.

Create other Locations in your Business Group.

Add all the location in the same way 

Now create all Divisions,Departments and Branches in your Business Group.

Click on New Button



















Now enter all the Field

 In this way we can add all the Organization,Branches,Section,Departments etc.























when entering the Departments/Branches/Section etc. it should keep in mind that in the Organization Classifications Field must add"HR Organization" and also enabled it.

Business Group Creation

The highest level organization in the Oracle HRMS system. A Business Group may correspond to the whole of your organization or to a major grouping such as a subsidiary or operating division. Each Business Group must correspond to a separate implementation of Oracle HRMS.

After defining all the necessary flex field now we create Business Group
The Important thing we must not forgot while creating our business group and all our organizations is "Date Tracking". The date must be checked while creating all the organizations . The dates which we give for our organizations must be after or equal to the date which our business group is created and the dates are those from which we want the organizations to be existed in our business group.The Date Tracking Plays a vital role in HRMS.

For that first we have to create a Location

Navigation :HRMS : Work Structures → Location





















Enter the location Name of your BG










The next step is to attach all our flex fields which we have defined before to our business
group . 
Organization Classification is Important in HRMS.

Navigation : Work Structure → Organization→Description

Click on ‘New’
Create the Business Group.

Enable the Business Group Name and click on ‘Others’ and give the Business Group Information .
Give a Short name for the Business Group.



Select the Employee number , Applicant Number Generation, Contingent Worker Generation Fields as either as ‘Automatic’ or ‘Manual’ based on your business group requirement.
Select  and attach your grade,people group,job,costing,position,competence flexfields to your business groups here.
Select your Legislation Coed and currency .
Click on OK



Then click on ‘Yes’ for saving the Business Group Information.
Attach ‘ HR Organization ‘ so that we can attaché employees in that organization.

Add ‘HR with Payroll’ for ‘HR User Type’


Save it and close

 Select Your Business Site and also Select you Business Group to Attach with Responsibility LOV
